The Company is a personal data administrator within the meaning of Article 4, paragraph 7 of the GDPR. We also use the services of data processors referred to in Article 4 (8) GDPR who process personal data on behalf of the controller (e.g. accounting firms, IT companies, real estate agents).
§1 Processing of personal data
As a real estate agency, we process the personal data of our clients. As an employer, we also process the data of employees and persons who cooperate with us on a basis other than employment. The contact information we receive from our counterparties is used to conclude and efficiently perform contracts and provide services. We also carry out marketing activities and, as part of these activities, we strive to reach as many stakeholders as possible to provide them with up-to-date information about our products and services. We do our best to protect the interests of individuals whose data is processed. In particular, we ensure that:
- - the data is processed in accordance with applicable law, in a fair and understandable manner for the individuals whose data is processed;
- - we collect data for specific, clear and legitimate purposes and do not process it in any other way that is incompatible with those purposes;
- - the data is used only in a manner that is adequate, relevant and limited to what is necessary for the purposes of processing;
- - we ensure that the data is accurate and up-to-date and take steps to correct or delete incorrect data;
- - we store data in a form that allows for the identification of the data subject for no longer than necessary;
- - we process data in a manner that ensures adequate protection, including protection against unlawful processing and accidental loss or destruction.
We usually process your data on the basis of your consent, which you can withdraw at any time. Another case of processing is when it is necessary for the performance of a contract to which you are a party or to take steps at your request before entering into such a contract. In some cases, processing is necessary to comply with our legal obligations, such as labor laws or the Accounting Act.
§2 Methods of communication
We provide information by phone or in writing (via messenger or electronically). If you wish, we can also provide the information verbally, provided that we can verify your identity by other means. If you send a request electronically, the information will also be provided electronically, to the extent possible, unless you indicate to us another preferred form of communication. We endeavor to provide the information immediately and may extend this period by one month if necessary due to the complexity of the request or the number of requests.
§3 Processing subjects
When cooperating with entities that process personal data on our behalf, we only use entities that provide sufficient guarantees for the implementation of appropriate technical and organizational measures. The aim is to ensure compliance with the GDPR and to protect the rights of data subjects.
We carefully check the entities we entrust with the processing of your data. We rely on detailed contracts and conduct regular audits to ensure that our data processing operations comply with the contract and applicable law.
§4 Data storage
We store personal data in a form that allows for the identification of the data subject for no longer than is necessary for the purposes for which the data is processed. After this period, we either anonymize the data or delete it. The deletion of personal data is complete and irreversible.
We determine the period of data processing primarily on the basis of legal regulations (e.g., the period of storage of employee files, accounting documents), as well as on the basis of the legitimate interest of the administrator (e.g., marketing activities). The retention policy covers both data processed in paper and electronic form.
